Guild Care - Methold House
You will be supporting the People Team in all administration duties, whilst being the initial point of contact for People enquiries across the charity.

At Guild Care, you will be working towards the Business Administration Level 3 Apprenticeship, alongside your daily roles and responsibilities.

Your roles and responsibilities will include;

Providing excellent customer service and general advice to both internal and external enquiries
Performing a range of administrative tasks such as email correspondence and phone calls.
Providing administrative support for all aspects of the Employee Lifecycle – Attraction, Recruitment, Onboarding, Retention, Development & Performance and Onboarding.
Supporting the reviewing and updating of documentation and policies.
Maximising knowledge of Guild Care’s HR system in conjunction with IT colleagues, employee file location and the relevant sections of the Guild Care portal and ensuring they are up to date and reflect correctly, current and ex-staff.
Creating and sending all employment contracts, terms & conditions and leavers correspondence and liaising with Payroll colleagues accordingly.
Maximising knowledge of the Guild Care Applicant Tracking System (ATS).
Provide first-line support for general enquiries relating to Guild Care’s eLearning platform and escalate to L&D and the Recruitment Operations Advisor if needed
Collating and evaluating the results of all training feedback.
Sourcing and reporting all People statistics and KPIs as required, but at least on a monthly basis.
Completing all regular People team data checks.
Completing external surveys as directed.
Being fully involved in all internal and external audit processes.
Showing full knowledge of DBS, Sponsorship and Right to Work procedures and related matters specific to the Care industry.
Supporting any projects as requested by the HR Director or HR & Performance Manager, such as the annual Star Awards, staff survey, seasonal initiatives, staff socials, employee benefit and internal communications development.
Ordering uniform and badges for new starters.
Ensuring your own knowledge and personal and professional development are kept up to date, including statutory legislation and e-learning modules.

Desired Skills

- The ability to adhere to policies and procedures in an effective manner - Clear verbal and written communication skills - Confident using Microsoft Office (Outlook, Word, Excel) - Experience of working with an Applicant Tracking System (ATS) is desirable bit not essential

Personal qualities

- Flexible Team Player
- Experience of working in an office environment is desirable but not essential
- Excellent attention to detail
- The ability to use initiative and proactively anticipates requirements

Qualifications required

A qualification in English at a GCSE grade 5 or above (or equivalent) is desired for this position.
